Responsibilities

As a document control specialist, you will be working closely with the project management team to ensure documentation is meeting engineering standards and properly filed and distributed. Priorities can often change in a fast-paced environment like ours, so this role includes, but is not limited to, the following responsibilities:

- Registration of the incoming/outgoing documents.

- Transmittal preparation.

- Progress evaluation.

- Deadline control.

- Request & reply processing.

- Preparation of the reports on the status of project implementation

- Collecting data to achieve the goals of the assigned tasks.

- Participating in negotiations with the client regarding issues related to document circulation.

- Labeling, sorting and categorization of documents.

- Preparation of requests for missing and additional documents from the customer.

- Effective communication with other team members and departments in order to understand all ongoing processes.

- Training employees on efficient documentation usage.

- Conduct verbal and written English-Russian-English translation.

- Preparation of the Minutes of Meeting (MoM).

We use an internal software to facilitate task management, and team collaboration tool through which we manage and communicate all our workload. So, you will be expected to maintain records and progress of your prospects and leads inside this tool. We will also provide you with your personal work email account along with all related guidance and material, along with access to digital tools where necessary.

Competencies

We’re looking for the following key skills, and abilities to perform well on this job:

- Degree in communications or related field.

- Eexperience in a related field.

- Exceptional verbal, written, and presentation skills.

- Sense of ownership.

- Ability to work effectively both independently and as part of a team.

- Experience using computers for a variety of tasks.

- Knowledge of file management, transcription, and other administrative procedures.

- Ability to work on tight deadlines.

- Fluent in English and Russian languages.

- Excellent organizational, time management and follow-up skills.

- Strong attention to detail.

- Proficient in Word, Excel, Outlook, and PowerPoint.

- Comfortable using a computer for various tasks.
